Contract

This reservation constitutes a contract with Glenapp Castle by paying the agreed deposit this constitutes a signed agreement without signature from either party being present.

Deposit Payment & Cancellation

Fully Refundable Booking:  When booking on our regular rates, a deposit of the first night’s stay for each room will be charged to your credit card at the time of booking.  On these regular rates, this is fully refundable if you cancel your booking prior to 1500 hours 14 days before arrival.  Should you cancel within 14 days, the deposit isn’t refundable, and we do advise all guests to have travel insurance.

Promotional Rate:  If you have taken advantage of one of our promotional offers or our bed and breakfast promotional rate, full payment of the total stay is taken at the point of booking.  Should you need to cancel this stay is non-refundable and we do advise all guests to have travel insurance.

Special Offers:  If you have taken advantage of one of our special offers, full payment of the total stay is taken at the point of booking.  Should you need to cancel this stay is non-refundable, however we can hold the monies paid, to be used within 12 months of the original reservation date. Should you cancel within 14 days, the deposit isn’t refundable, and we do advise all guests to have travel insurance.

If your booking is over the value of £10,000, a 50% deposit to confirm the booking is required. Should you need to cancel or amend your booking, please do let us know more than 28 days in advance of your arrival to avoid cancellation charges connected with your chosen rate plan.

Festive Packages: When booking our Festive packages, a 50% non-refundable deposit is required at the time of booking with the final 50% balance payable by 1st December.

Vouchers: For reservations made with a pre purchased gift voucher, the gift voucher number must be given at the point of booking.  Gift Voucher cancellations must be made more than 14 days prior to arrival to enable the gift voucher to be used again within the time frame of the voucher. Cancellations within 14 days are not refundable and the gift voucher will be redeemed/forfeited.  For monetary gift vouchers, the cancellation terms apply to the type of rate that is booked.

In the event of cancellation by the hotel, all payments will be refunded in full and the hotel is not liable for any costs incurred by the client as a result. Any guests wishing to cancel their reservation must do so in writing.

Bookings must be confirmed with deposit payment within 3 days of making provisional booking.  If not received your accommodation may be released and we shall endeavour to contact you to advise of this.

Arrival & Departure

Check in is available from 1500 hours on the day of arrival. You may request an early check in at the time of booking which we will try to accommodate however cannot guarantee it will be available.  Please be ready to leave the room by 1100 hours. Late check outs can be requested with the team on check in.

Prices

Accommodation prices at Glenapp Castle includes overnight accommodation in a double or twin room and include a full Scottish breakfast daily.

Final Payment / Invoice

Full payment for your stay, minus deposit paid, must be paid on the day of departure. We accept Cash, Master card, Visa and American Express.

Price Changes

Glenapp Castle reserves the right by giving notice to the client at any time before the date of arrival to increase the price of any service including accommodation and food to reflect any increase in the cost to Glenapp Castle which is due to any factors beyond the control of Glenapp Castle or to any change in specifications by the client.

Availability

In the rare case that Glenapp Castle cannot accept a booking, Glenapp will find guests other accommodation in similar hotel or guest accommodation.  The deposit will be refunded in full, and guests will be responsible for payment of their room to the other accommodation providers.  Glenapp will make all the arrangements regarding this.

Dining

Inclusive dinner bed and breakfast rates include either a 7-course tasting dinner or a 3-course dinner and this will be stated clearly on your confirmation.  If you are on a 3-course menu and wish to upgrade to the 7-course dinner, let the team know 24 hours in advance. We ask that all alcohol consumed on the premises is supplied by Glenapp Castle’s fine wines and bars selection.

Dietary / Allergens

We cater for all allergens or dietary requirements at Glenapp and ask for this information to be communicated to us at least 72 hours in advance of your arrival.

Dress Code

We are often asked about our dress code.  We don’t have a specific dress code but most of our guests prefer to dress smartly for dinner and tie isn’t essential for gentlemen.

Activities & Additional Services

Activities booked by our Concierge Services carry a surcharge of up to 20% on the booking fee.  If outside suppliers or providers of additional services are booked directly, this is done at your own risk and Glenapp does not hold responsibility for this or the arrangements.  Glenapp Castle should receive details of these suppliers preferably at the time of booking and at last one month prior to arrival date.

Transfer

All Glenapp transfer and chauffeur services will be subject to a cancellation fee equal to 50% of the total cost of transfer. If cancelled after 1500 hours, the day prior to arrival. For any travel delays more than 2 hours, a waiting fee will be charged.

Children

Children are very welcome at Glenapp.  When sharing a room with two adults, children under 5 years old are accommodated free of charge, and children aged between 5 – 15 years are charged a bed and breakfast rate of £95.00 per day. Children’s meals are charged as taken.

Babysitting

We can arrange babysitting services for children, ideally this should be advised at the time of booking, or at least one month in advance.

Dogs

Dogs are also welcome at Glenapp by prior arrangement and are charged at £49 per dog per night.  We have specific rooms suitable for dogs with direct access outside, and we ask that they do not come into the public areas and are not left unaccompanied for long periods of time in the guest bedroom.   Any damage to Glenapp Castle as a result of the dog will be charged accordingly to the Guest.

Disabled Facilities

Please advise at the time of booking if you or any of your guests require disabled facilities, or if there is any difficulty with stairs, as the Castle lift doesn’t serve all areas of the Castle and we can then allocate rooms accordingly.

Smoking

Scottish law dictates that it is not possible to smoke, or knowingly permit smoking, indoors in any public place and this includes the guest rooms and all public rooms at Glenapp.  Smoking is possible out with the castle. A fee of £1000 will be charged for the deep cleaning and deodorising of the suite if any of the suites have been smoked in. This will be deducted from the card supplied at booking.

Wedding Insurance

Should your booking at Glenapp be for a wedding, Glenapp Castle highly recommends you take out a wedding insurance policy, within the appropriate time frames.

Late Payment

Glenapp Castle reserves the right to charge interest on the outstanding balance at 2% above the Bank’s variable base rate from the date of invoice.

Cancellation Insurance Policy

Glenapp Castle recommends that an insurance policy against cancellation is taken out by the booking client, and/or their customer.

VAT

All our prices are inclusive of VAT at the current rate at the time of booking.  In the event of any change in the taxation beyond the Hotels’ control Glenapp may vary the price quoted to any extent which reflects the change. All prices are subject to VAT change without notice.

Liability

Neither Glenapp Castle nor any employee or agent accepts any liability for any accident, loss or injury to any person howsoever caused. The client assumes responsibility for all damages caused by them or any of their guests whether in the rooms reserved or any other part of the Hotel and its grounds. Glenapp Castle accepts no liability to the client in the event of any accident loss or damage for whatever reason to any of the client’s property including vehicles. Arrangements should be made to have adequate insurance cover for any accident, loss or damage to the client’s property or vehicles whilst at the hotel.

Damages

We reserve the right to charge guests the cost of rectifying damage caused by the deliberate, negligent, or reckless act of the guest to the hotel property.  Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit card or send an invoice for the amount.  We will however make every effort to rectify any damage internally prior to contracting specialists to make the repairs and therefore will make every effort to keep any costs that the guest would incur to a minimum.  In severe cases the guest will be liable for the loss of revenue that the hotel suffers whilst the damage is being repairs.
